Managing Your Port Calls

The Port Calls section is your central hub for managing all vessel-related appointments, disbursement approvals, and operational tasks.

Getting Started with Port Calls

  • From the main menu, click on

  • Choose the action you wish to perform : view, create, approve, etc.

  • Follow the on-screen prompts or instructions for the selected task

What can you do?

View All Port Calls

Path: Port Calls > Port Calls

This section organizes all port calls under the following tabs:

  • Pending – Awaiting action or confirmation

  • In Process – Currently active or ongoing appointments

  • Watchlist – Marked for monitoring or follow-up

  • Rejected – Port calls that have been declined

Action Items - Within the Port Calls section, one can perform the following actions on individual or multiple appointments:

  • Select - Use the checkboxes to select one or more port calls. This is especially useful for bulk actions like deletion.

  • Edit- Modify the details of an existing port call, such as vessel name, port, dates, or agent information.

  • Delete - Permanently remove a selected port call. Delete individual entries or multiple at once using the Select option.

  • View - Open and review all details related to a specific port call without making any changes.


Create New Appointments

Path: Port Calls > Port Calls

  • Click the button at the top-left corner

  • Set up new vessel visits and schedule appointments


DA Approvals

Path: Port Calls > DA Approvals

  • Review and approve Disbursement Accounts (DA) and related invoices

Action Items - The only available action item under DA is the Edit option.

  1. Click on the Edit button next to the DA you want to manage.

  2. This will open the full DA for review.

  3. After reviewing, you can choose one of the following actions:

A. Cancel Port Call – Cancel the associated port call entirely.

B. Reject – Reject the DA if it contains errors or discrepancies.

C. Approve – Approve the DA if all details are correct.


Search Port Calls

Path: Port Calls > Search

  • Use the blank search fields under each column header to enter specific keywords. Example: To find the vessel Test1 at Khorfakkan port, type “Test1” under the Vessel column and “Khorfakkan” under the Port column

  • Press Enter to view the matching result(s)

Action Items -

  1. Click the Comment button to add notes or remarks and upload attachments related to the DA

  2. Click the Duplicate button to create a copy of the current DA for faster entry of similar port calls


Transfer Port Calls

Path: Port Calls > Transfer Port Calls

  • Reassign a port call from one user to another within your organization
